What a HubSpot Audit Actually Looks For
Most people hear “audit” and picture a sales call with a PDF attached. Somebody pokes around your portal for twenty minutes, tells you your data is messy, and produces a proposal. That’s not an audit. That’s prospecting.
A real audit answers one question: is this portal costing you money, and where?
This is the short version. The full method — what we pull, how long it takes, and what it costs — is in our guide, There Is No Standard HubSpot Portal. So There’s No Standard Audit.
The four questions, in order
1. What do you own? Which Hubs, on which tiers, with which add-ons. There are 3,072 possible tier combinations before add-ons, so “good” means something different for every portal. An audit that skips this question is auditing a portal someone imagined.
2. Who actually logs in? Not who has a seat — who uses it. Seats assigned to people who left, never onboarded, or went back to spreadsheets are usually the fastest money an audit finds.
3. Who can break things? Count the Super Admins. The right number is two or three. If it’s half the company, your access model is gone, and the next expensive mistake is a matter of time.
4. What is running, and why? The workflow inventory: how many exist, how many are active, and whether anyone can explain the ones that are. This is where we spend the most time, because it’s where the most damage hides.
What you should get at the end
A prioritized, plain-English list: what’s working, what’s costing you money, what to fix first, and roughly what each fix takes. Short enough that an internal admin can start on it Monday — with or without us.
If an audit proposal doesn’t promise that, ask what you’re paying for.
